Meeting Planning Tips

Here a few tips for choosing a successful meeting venue while receiving the "best deal":
  • When searching for a property and working with a salesperson, ask if there are any special promotions or discounts running. Many times, especially now, hotels are offering crazy deals and great value-adds.

  • When you become a fan of their facebook fan page or follow the hotel on twitter, you will often get insider information and stay updated on special promotions.

  • Check the online reviews for the hotel and schedule a site visit with the hotel salesperson. This is a free service and many times, you will meet the key hotel personnel.

  • If your dates are flexible, ask for value dates or hot dates. The hotel is willing to negotiate a little more on these needy periods.

  • Know the type of hotel you are working with, whether it is a resort - leisure type which will be more expensive on weekend travel vs. a corporate - business type which will be more expensive on the weekdays.

  • If you need a block of rooms, always check the best available rate or "going rate" for the dates requested.

  • Use the meeting planner tools. Many hotels offer free online tools such as a personalized group webpage that enables your attendees to book their rooms directly from the link.

  • If you have multiple events throughout the year, Hilton provides a free service to bid each event out to multiple Hilton brand properties. Ask your sales manager for details.

  • Ask for Hilton Meeting Planner Points, this is considered a value-add, but many hotels are willing to negotiate it into the agreement.
  • Many hotels have the ability to modify their banquet menus. It is always best to present your meal budget ahead of time so the sales person can create a customized menu for your event.
  • You will receive more incentives if you book a multi year or multi event agreement with the hotel. Ask your sales manager for details.

The 2009 OC Super Fair Wants You to "Think BIG"

This year's theme is Think Big and as the official Fair hotel, we also like to think Big as the largest hotel in Costa Mesa. But you will have to go for yourself to find out how big...you be the judge. Premiering this year will be Al's Brain!!! A 3-D journey through the human brain, Weird Al Yankovic style!!! This special exhibit will be open daily and is free with OC Super Fair admission. In addition they have a great concert line up this year at the Pacific Amphitheater, and exciting sporting events scheduled in the Action Sports Arena....just a little tidbit, this year in addition to the annual demolition derby there will be a crazy kind of demolition derby. They call it the "Think Big" Demolition Derby and it is scheduled for Sunday, July 26 at 7:00 pm. And when they say think big they mean like in RV Camper big!!!! I can only imagine how entertaining that will be....I'm sure there will bill a lot of laughter and hilarity that night!!!

How Social Networking has Changed the World…

As a 44 year old man, when I heard the term “Social Networking” for the first time, I immediately thought it was what I did in bars back in my college days. Who knew it was a recent social phenomena that was taking the internet by storm. As I learned more about it, it appeared to me that the modern version of Social Networking was taking the place of what we did as kids and 20 something’s on the neighborhood play grounds and corner coffee shops. It was replacing the personal aspect of getting to know one another. The nuances of body language and facial expressions, that may have helped us make a point were lost in the process. I was convinced it would not “stick” and go the way of the pet rock; just another fad.

Fast forward a couple of years and I have found a new respect for this ever increasing social phenomena. From a business aspect, it is a priceless marketing and PR platform. For the first time is history, the “little guy” can reach out to 10’s of millions of potential customers. Market research firms can get real time feedback on potential products and services. The list goes on and on. On a personal level, it allows individuals to reconnect after years and many cases, a lifetime. I for one have reconnected with friends that I have not heard from in over 20 years. But the real value of the Social Networking phenomena has just now come to light. It is helping a repressed people to find their voice and hopefully, the plant the seeds of democracy. Without this powerful new media, the real time events of what has been happening in Iran would have never seen the light of day and the world community would have been blind to what life under the Mullah’s and a repressive regime was really like. Facebook and Twitter are truly changing a country and quickly, the world. Today, the world is a much smaller place. It quite literally can fit in the palm of your hand-

Independence Day in the OC!



Many of us have forgotten why we celebrate the 4th of July. This date is more than just a day to go to the beach, barbeque and enjoy a good firework display; it is to commemorate another day of independence. In the years leading up to 1776 the colonists of this land were being forced to follow more rules and pay more taxes by Great Britain. The people started making plans to be able to make their own rules and become an independent nation. This is how the declaration of independence came about. The Declaration of Independence is a symbol of our country's independence and commitment to certain ideas. So no matter what you enjoy doing on the 4th of July, you should take some time to think about the courage it took for these people to stand up for what they knew was right -- independence!

The 2009 OC Marathon


The Hilton Orange County/Costa Mesa is proud to be one of the host hotels for the upcoming 2009 OC Marathon on May 3rd. Five of our employees including General Manager, Shaun Robinson will take the challenge of a half marathon which is approximately 13 miles around beautiful Orange County!

Half marathon training will be challenging, but should be fun and enjoyable. Train right and enjoy lots of fun on the big day!

Learning some of the basics will help you get started.

Motivation: Building mental stamina is essential. It’s one thing to be motivated to begin training. It’s another to stay motivated every day. Staying motivated and developing the proper mindset is key to enjoying training and crossing the finish line with a smile on your face.

Goals: Finish time goals, weight loss goals, “just finish” goals…we all have a reason(s) for wanting to run a half marathon. If your only goal is to lose weight, good luck. You’re likely to quit. You are likely to quit just like so many people who join health clubs each year for the same reason only to stop going after seeing little results in little time. You must have the right goals and reasons for running in order to be successful.

Wear the right gear: Treat your feet to a good pair of running shoes (or three!). Running shoes will be the most important piece of gear. Shoes are designed to fit feet with different arches, pronation, and more. Visit a local specialty running store to find the best shoes for your feet.

Nutrition: Carbohydrates provide the fuel runners need. During half marathon training, 65% of your total calories should come from carbohydrates, particularly complex carbohydrates. 10% should come from protein (you need 0.5 to .07 grams per pound of your body weight each day). 20-25% of your total calories should come from unsaturated fats. Be sure to get the nutrition you need to keep you strong and allow for adequate recovery.

Recovery: Obviously, it is important to run for half marathon training, but recovery is equally important. You should not run every day. Your body needs to rest between runs so it can recover from one run to the next, getting stronger between each run. Nutrition and eating the right foods at the right time also play a vital role in recovery. Take recovery days equally as serious as your running days.

Hydration: On runs of an hour or more, carry fluids with you and consume 6-8 oz. every 20 minutes. During pre-training and marathon training, weigh yourself before and after each run and get your body weight back to the weight it was before the run by drinking water or sports drink within the first hours after the run.

Avoiding Injury: Use your non-running days to rest and recover. Ice down any soreness, particularly in knees or shins (most common) four times per day for 15-20 minutes. Injuries often sneak up without warning. Doing all the right things right will minimize your chances of injury.

Pre-Training: Before you begin half marathon training, you should be able to run for at least 30 minutes without stopping. Distance is not important right now. You just need to get your body used to running. Combinations of run/walks are great to use during pre-training because they ease your body into the exercise and minimizes the chance of experiencing a running injury.

Training: Your mileage should gradually increase each week. As a general rule, total weekly mileage should not increase by more than 10% from week-to-week. Completing a run of 10-12 miles about three weeks before the race will be enough to prepare you for the finish. You should then taper off in the final weeks leading up to the half marathon to allow your body to recover from training and so you will be strong on the big day.

Half Marathon Day: Tapering in the final weeks before the half marathon will help your body recover from half marathon training and be strong for your big day. You will also want to carbo-load the week leading up to the race. Given the atmosphere at most marathons, you will likely feel full of adrenaline after leaving the starting line. Remember though, distance running is about endurance and pace is critical. Maintain pace to save everything you have left for your big finish!

We Get the Press in "imPRESSive" Site Visits


I remember one of our first Sales meetings with the then new Director of Sales, Dan Fitzgerald who told us to think outside the box and create the most imaginative site visits we can, that nothing is impossible. Well, that proved to be more than true! If the hotel is our baseball field and we build it, they will come!

My own personal site experience was with a company that sponsors a car in NASCAR. The client flew in from Dallas, TX along with another meeting planer. They were dropped off at our property after visiting another hotel and instead of showing the usual "here's our guestrooms", "here's our meeting rooms", I involved the entire hotel staff including housekeeping, banquets, sales, operations and presented her with a cake in the shape of their sponsered NASCAR along with a champagne toast and dessert. The client was so taken back that she nearly missed her next appointment. Needless to say the business was awarded to our hotel. From a helicopter landing in our valet entrance to police vehicles in our lobby, I know one thing is for sure, it takes the entire hotel staff to put on the most memorable experience!

Recently, our unique site visits have been taking notice and was recently featured in a Hilton news article. The Hilton Orange County/Costa Mesa took on the appearance of a military base as its marketing and sales department cleverly camouflaged the property to welcome representatives of the Army National Guard Bureau Environmental Workshop, who were in town for a site inspection to determine if the hotel would be a good fit for their March 2009 event. To demonstrate the desire to win the business, the hotel was decorated with a pair of Humvees and an enormous military crane displaying a huge welcome sign. A structural engineer from the City of Costa Mesa inspected the area where the crane would be parked as it was atop the hotel's underground parking facility.To round out the military look and feel, there was even a color guard to greet the representatives and a tongue-in-cheek assortment of fresh food and military MREs (self-contained, individual field rations in lightweight packaging) were served. City officials met the representatives in the hotel lobby, expressing their interest in having the event in Costa Mesa.The representatives were so impressed with the hotel and the effort to win their business that they awarded the contract on the spot. "I am proud of our team for putting together an awesome presentation and grateful to Costa Mesa officials, whose enthusiasm and strong support helped us to win this important business," said hotel General Manager Shaun Robinson. Famous for their Chardonnay and Cabernet Sauvignon, Far Niente was founded in 1885 by John Benson. Far Niente, from an Italian phrase that romantically translated means “without a care.” Sixty years later, in 1979, Gil Nickel purchased the winery and adjacent vineyard and began a three-year restoration of the property. Today, the winery continues to focus on producing only the two varietal wines.

With our Executive Chef, Chad Krahling and his wonderful staffs’ warm hospitality; we were able to enjoy a five course delicious meal. First were the delectable Hors D’oeuvres that included Smoked Salmon with Toast and Dill and Roasted Root Vegetable Soup with Duck Confit. Every course was served with a different wine that complemented the dish. I was in heaven! My favorite course by far was the dessert, Tart Tartin with Vanilla Bean Gelato and Apricot Honey. The moment I tasted that Tart Tartin I was reaching for more! I even took some of Terri Collin’s dessert when she wasn’t looking. My favorite wine had to be their 2006 Nickel & Nickel, Searby Vineyard, Russian River, Chardonnay. It had a touch of vanilla to the front pallet and it was very light at the end. It made me think of a warm summer night with just a breeze in the air. It was refreshing and brought a smile to my face.

In between our courses, our entertainer of the night, Director of Sales, Dan Fitzgerald amused us with his natural suaveness and gave away a few bottles of wine and wonderful gifts that included overnight stays at our lovely hotel. I don’t know who would say no to free wine or free hotel stay! Everyone was very happy and enjoyed every minute of it.

Soon, the night came to an end and it seemed like everyone was very content with either the dinner or the prize they have won. As each of them left, they had nothing but great things to say and we thanked them for their loyalty with our hotel.

As Dan stated, “ Tonight was our best Wine Makers Dinner.” I agree with him 100 percent! I’m already looking forward to the next dinner and to making IT the best Wine Makers Dinner. Again.

We've Gone Country!



Cowboys. Country Music. Skeet Shooting. Barbeque. How could a day with all of these activities be anything but amazing?

Recently, the Hilton Orange County/Costa Mesa Sales, Catering, and Event Services team spent an afternoon at Star Ranch, located in the hills above Corona. We arrived at the ranch, had a cocktail hour, and split into teams for a day of outdoor, true-west team building.

As we rotated through each activity, the “Yellow Bellies” “Purple Stallions,” “Roughriders,” and “Angel’s All-Stars” (yes, we named the teams ourselves) learned how to lasso cattle, shoot actual rifles at clay pigeons, work together to build a fence without saying a word, and herd cattle. Never will our team forget the “unmovable” cow, and the attempts made at getting her to budge. Of course, this day ultimately became a competition, with each team competing to accumulate enough points. The culmination of the day involved creating and performing a song to the lyrics of “You Are My Sunshine.”

While this may sound like an interesting way for a hotel staff to spend the afternoon, our team unanimously feels that the bonding and interaction created through activities that require us to be out of our comfort zone will create lasting relationships, and ultimately enable us to serve our clients and guests better. Just as we had to rely on each of our team members throughout the day to create lasting results and finish activities, as a hotel staff every day we take different skills, abilities, and backgrounds to service our clients from beginning to end.

Our day at Star Ranch facilitated a trust and bond within our staff, and ultimately we will use the memories and skills from this day to strengthen our team’s ability to serve our guests.

Our Green Standards


52% of the meeting planners are planning "green meetings". Hotels, suppliers and vendors are finally on board with this initiative. Being "green" can actually save money when it was once considered to be a costly intiative. For example, I am finding that a lot of meeting planners are eliminating water bottles thus reducing expenses by $4.50 per bottle! Here are some of our Hotel Green standards:

  • Newspaper recycling bin.
  • Cardboard bailer. All boxes and cardboard are recycled.
  • Glass bottle bin. All glass bottles including liquor, beer and wine are recycled.
  • Co-mingled bin for all recyclables
  • Trash compactor is for “wet” waste and we have “red” containers designated
  • Green Wednesday and Saturday. We eliminate these days for hotel deliveries.
  • Used copier toners and ink cartridges are recycled through an approved vendor
  • Practicing electronic B.E.O. distribution.
  • Encourage both sides printing on our copier paper for internal distribution and our copier paper is made from 10% recycled paper
  • Ride Share/Carpooling in place with designated front of the garage parking
  • Changed lighting to compact fluorescent throughout hotel to save energy
  • Signage in guest rooms to request clean sheets and towels.
  • Carpet shampoo and odor neutralizer are green standard

General Manager's Outlook

As we are now into the second month of the New Year, we know 2009 will be one of the most challenging economies our nation has faced.
However I am happy to report that our hotel is positioned better than most. In fact our “pre-sold” group position for the next two years is at an all time high. In addition I am happy to share with you some of our exciting projects that are currently in progress:

-Bathroom renovations with enhanced lighting, new mirrors, wall vinyl and amenity upgrades.
-New beds in all guestrooms
-Guestroom renovations continue with the installation of 42” LCD TV’s.
-New poolside furniture
-Fitness Center renovations include state-of-the-art cardio and strength equipment.
-Parking garage lighting and signage enhancements

While it is important to improve our facility, offering great service is more important than ever. Our biggest opportunity is in consistently out servicing the competition. I have challenged our management team to make a commitment to be truly GREAT in communicating, coaching and inspiring 365 days per year and to always insist on the highest standards. We cannot take a day off with this promise. I am confident that when this culture is truly engrained then we will move to the top of the class.

Avoid Valentine's Day Headaches



I think Valentine's Day is such a pain. For one, they seem to loose your restaurant reservation that you made months in advance. When they do finally seat you (an hour later), you are practically arm in arm with everyone else. The server then rushes you out so they can seat the next couple whose reservation was lost in the shuffle. I actually made it a rule to avoid restaurants on this day. So when our Executive Chef, Chad Krahling came up with this dessert idea, I decided it is going to be take out and a special dessert made by me for V-Day!






Ingredients
2 (approximately 12 ounces each) chocolate pound cakes
1/2 cup black cherry jam
1/2 cup cherry brandy
2 cups drained bottled sour cherries (recommended: Morello)
Custard:
4 ounces bittersweet chocolate, minimum 70 percent cocoa solids, chopped
1 1/3 cups plus 1 tablespoon milk
1 1/3 cups plus 1 tablespoon heavy cream
8 egg yolks
1/2 cup plus 1 tablespoon sugar
1/3 cup cocoa Topping:
3 cups heavy cream
1.5-ounce bittersweet chocolate
Large wide trifle bowl

Slice the chocolate pound cake and make jam sandwiches with the cherry jam, and layer the bottom of a large wide trifle bowl. Pour over the cherry brandy so that the cake soaks it up, and then top with the drained cherries. Cover with cling wrap and leave to macerate while you make the custard.

Melt the chocolate on low to medium heat in the microwave, checking after 21/2 minutes, though it will probably need 4 minutes. Or you can place it in a bowl over a pan of simmering water. Once the chocolate is melted, ser aside while you get on with the custard.

In a saucepan warm the milk and cream. Whisk the egg yolks, sugar, and cocoa in a large bowl. Pour the warm milk and cream into the bowl whisking it into the yolks and sugar mixture. Stir in the melted chocolate, scraping the sides well with a rubber spatula to get all of it in, and pour the custard back into the rinsed saucepan. Cook over a medium heat until the custard thickens, stirring all the time. Make sure it doesn't boil, as it will split and curdle. Keep a sink full of cold water so that if you get scared you can plunge the bottom of the custard pan into the cold water and whisk like mad, which will avert possible crisis.

The custard will get darker as it cooks and the flecks of chocolate will melt once the custard has thickened. And you do need this thick, so don't panic so much that you stop cooking while it is still runny. Admittedly, it continues to thicken as it cools and also when it's chilling in the refrigerator. Once it is ready, pour into a bowl to cool and cover the top of the custard with cling wrap to prevent a skin from forming.

When the custard is cold, pour and spread it over the chocolate cake layer in the trifle bowl, and leave in the refrigerator to set, covered in cling wrap overnight. When you are ready to decorate, softly whip the cream for the topping and spread it gently over the layer of custard. Grate the chocolate over the top.
